For our Sr. High Fall retreat they are paying in installments. Like Tim said, it depends on the event. I do a deadline for numbers. If there is little interest we cancel the event. I give students enough time to make up their minds, announce the event for several weeks, have a sign up sheet and make the call closer to the deadline.

For us, it depends on the event. If it's registration for a camp, retreat, missions trip, conference, something like that, the deadlines are pretty firm and we rarely do early-bird pricing or deposits, just because it's extra administrative work for us to keep track of. We just wanna keep it simple. One deadline, one price, one registration, done.

Registrations for something like jr high small groups, however, is different because kids are joining them throughout the year. We have registration just so we have contact info and an spread kids evenly among the groups that are available, but that's about it.

Like you say, depends on the event. If I need a firm count for lodging etc, we have a cutoff. If I can be flexible, I'm as flexible as possible so as many can go as possible. I typically don't charge a late fee, but it can be a nice source of extra revenue. (It doesn't, however, typically help people get registrations in on time.) I normally require a transferrable, non-refundable deposit sufficient to cover any expenses I can't cut if they drop out (i.e. pre-paid tickets, locked in lodging). I make reg forms available online, but don't do online registrations - it's more print this and fill it out. We do require permission slips for each event, and that's why we want a hard copy of the signature. Hope that helps...
