The church I am at now sold their bus a couple of years ago. I have a CDL and miss having a high occupancy vehicle with which to transport my youth. It is so much easier when you have it at your disposal.

Find every receipt you can to get how much your vans cost you in 2010. Then call a rental place and get a price estimate (don't forget insurance). Pretend you rented every time you took the vans in 2010. See what the numbers say. It is probably cheaper to rent! However, I had at least one event per month in 2010 where I needed a van to transport students across town. Also, when considering purchasing vehicles, know that there are 15 passenger mini-buses that don't require a CDL. We love ours!!

We have been struggling with what to do also. We are in a rural community where renting a van is not an option. Our Trustees decided recently to sell out 15 passenger van and buy two 7 passenger mini-vans instead. This is obviously not going to solve our problem. We have a 15 passenger van but our insurance company wants us to get rid of it due to the liability. We're looking at a small 20 passenger bus but it will require a CDL for every driver. We're struggling with what decision makes the most sense. I think having students driving from Church to ANYWHERE is horrible idea and opens us up to a ton of exposure.

I'm at church where I've never had church vehicles. I've always had to rent for any trip. I understand where people come from when they say that it's nice to not have to worry about upkeep and insurance. On the other hand, I have to worry about vehicle availability, reservations, and cancellations. A couple of weeks ago, Enterprise didn't have our van ready and we were supposed to be leaving to go on a trip. If we owned a van, this wouldn't have been an issue. All that to say, there's pros and cons to both. Ideally, I would like to own one van and then rent extras if we need them. This way, we wouldn't be completely hung out to dry if we need transportation.

Yea, I'd say rent. However, You're looking at about $900 for one van going on a weekend trip. If you save up and plan ahead, that won't be so bad. However, if you just spring it up at last minute, then it could hurt the church budget. Plan ahead, rent, and you'll be fine. You could also get some big car magnets made with the church name on it and just throw them on the rentals.

I would just rent vans when needed. When you look at the cost for the vans, including repairs, etc., it's cheaper and a lot less hassle to just rent. If it's a smaller trip, drive your car and carpool. Mileage reimbursement is cheaper. If it's a larger trip, rent a bus. Much more economical. Especially if your ministry grows, you'll likely outgrow the vans.

On top of that, you save on insurance, who hates those things because of how incredibly dangerous they are (most don't want more than 10 people in anyway). I have a friend who was driving one on a missions trip, did nothing wrong, had to swerve to avoid car crossing median, and the van flipped, with several casualties. I strongly recommend staying away from vans.
